Privacy Policy
Effective Date: September 13, 2026 • Last Updated: September 13, 2026
At Askio (including the desktop client, web applications, and associated services, collectively referred to as “we”, “us”, or “our”), we take your privacy and personal data seriously. This Privacy Policy outlines what information we collect, why we collect it, how it is safeguarded, and your rights when using our services.
Our Core Privacy Commitment
We never sell or rent your personal data, audio streams, meeting transcripts, or uploaded files to third parties or advertising networks. Data is processed strictly to deliver our real-time meeting assistance and productivity services to you.
1Information We Collect
We only collect data that is essential for providing, securing, and maintaining our services:
A. Account & Authentication Information
When you create an account or sign in, we collect basic identification information such as your email address, name, and profile picture provided via authorized authentication partners (such as Google OAuth) or passwordless verification codes. For passwordless sign-ins, verification codes are verified using single-use cryptographic security hashes that expire automatically.
B. Audio & Real-Time Meeting Interaction Data
When you actively initiate a meeting session or voice query, audio signals captured via your authorized microphone or system audio are streamed securely to produce real-time transcripts, summaries, action items, and context suggestions. Microphone input is only accessed when you explicitly start a session.
C. Visual Context & Screen Assist
If you activate contextual visual or vision-assisted queries in the desktop client, screen frames or captured areas are processed to help the assistant understand visual references. These captures occur only upon your direct prompt or command.
D. Uploaded Files & Workspace Documents
Files and reference materials you upload (such as PDFs, presentations, and text documents) are stored on encrypted cloud object storage. Extracted text is indexed into search representations so our AI assistant can accurately reference your uploaded materials during Q&A sessions.
E. Payment & Subscription Details
Paid subscriptions and credit top-ups are processed through compliant third-party payment gateways (such as Razorpay). We record transaction confirmation IDs, plan tiers, and usage balances. We never process or store full payment card numbers or banking secrets on our servers.
F. Technical Diagnostics & Telemetry
We collect basic diagnostic data, including operating system type, application version, client mode (web or desktop), anonymized crash traces, and pseudonymized connection indicators. This information is used strictly to diagnose software bugs, prevent abuse, and optimize platform latency.
2How We Use Your Information
- Service Delivery: To generate real-time transcriptions, intelligent summaries, action items, and conversational suggestions.
- User Authentication & Account Security: To verify your identity, secure access sessions, and protect against brute-force intrusion attempts.
- Subscription & Credit Accounting: To track credit consumption, plan quotas, and referral rewards accurately.
- Application Reliability: To diagnose crashes in our desktop and web applications, fix bugs, and deliver software updates.
- Communications: To send important administrative notices, security alerts, and customer support responses.
3Data Sharing & Third-Party Processors
We only transfer data to trusted third-party service providers (sub-processors) that assist us in operating our platform, under strict data protection and confidentiality agreements:
- Cloud Infrastructure & Databases: For secure database hosting and encrypted document storage.
- Speech-to-Text & AI Processing: For converting live audio streams into text and generating contextual language responses.
- Payment Processing: For handling secure billing, subscriptions, and receipts.
We may also disclose information when required by lawful court order, subpoena, or applicable regulation, or when necessary to protect the rights, property, and safety of our users or the public.
4Desktop Application Permissions
The Askio desktop application utilizes specific operating system capabilities solely to fulfill user-initiated actions:
- Microphone: Accessed only while a meeting or dictation session is actively running.
- Screen Display / Window Capture: Accessed only when vision assist is triggered to capture relevant workspace context.
- Global Keyboard Shortcuts: Used to allow you to conveniently toggle the application window and controls.
5Data Security & Retention
We employ industry-standard technical and organizational security measures, including modern Transport Layer Security (TLS) encryption for all data in transit and AES encryption for data at rest.
Your account data and workspace histories are retained for as long as your account remains active. You may request account deletion and removal of your stored session records at any time.
6Your Rights & Choices
Subject to applicable local data protection laws (such as GDPR, CCPA, or DPDP), you have the right to:
- Access and review the personal information we hold about you.
- Request correction or updating of incomplete or inaccurate data.
- Request the deletion of your account and associated session histories.
- Revoke permissions (such as microphone or screen access) via your device settings at any time.
